How deployment works

FolderCopilot Desktop creates your kit's folders in a place you choose. Whatever already shares files in your company (SharePoint, Google Drive, a file server) then shares the new folders with your team. There's no new storage to adopt.

Before anything is created

  • • Names are checked for characters Windows, OneDrive and SharePoint refuse.
  • • Path lengths are checked against SharePoint's and Windows' limits.
  • • Free space and permission to create folders are checked.
  • • You see every folder and file in a preview first.
  • • Existing files are never changed; running a kit again only adds what's missing.
  • • Every setup can be undone.

SharePoint document library (Microsoft 365)

Best for most companies on Microsoft 365.

Synced SharePoint library

Everyone with access
  • • Sync the library to your computer once (the "Sync" button in SharePoint). FolderCopilot finds synced libraries automatically.
  • • The folders are created in the synced library and OneDrive uploads them, so your whole team sees them. Permissions stay as SharePoint has them.
  • • SharePoint limits a full path to 400 characters; FolderCopilot checks this before creating anything.

OneDrive

Good for a solo business or trying a kit out.

Your other devices
  • • Your OneDrive is personal. The folders sync to your devices, and you can share individual folders.
  • • For a structure the whole company uses, a SharePoint library is usually better.

Google Drive and Shared drives

For companies on Google Workspace.

Shared drive
Your team
  • • Install Google Drive for desktop. FolderCopilot finds My Drive and your Shared drives.
  • • Choose a Shared drive for company folders so they belong to the company, not one person.

Office server, NAS or mapped network drive

For offices with their own file server.

FolderCopilot Desktop
Network drive (e.g. S:)
Everyone on the network
  • • Mapped drives are found automatically. You need permission to create folders there.
  • • Very long paths can trouble some Windows programs past 260 characters; FolderCopilot warns you if the kit would get close.
  • • Dropbox works the same way: pick your Dropbox or team folder.

A single computer

For one person, or to look at a kit before sharing it.

FolderCopilot Desktop
A folder on this computer
  • • Pick any folder, like Documents. Nobody else sees it until you move or share it.

Are our documents uploaded to FolderCopilot?

No. Setting up a kit creates folders and a few standard documents from the kit on your computer or synced drive. Your own documents aren't uploaded to FolderCopilot to do this.
