Healthcare Practice

Run the practice side of a clinic: administration, credentialing, facilities and quality.

A folder system for running a clinic or medical practice: administration, payer contracts, staff credentialing and training, facilities, quality, and a standard folder for practice initiatives like opening a location or onboarding a provider. For practice administration, not patient records, which belong in your EHR.

  • 37 folders
  • 1 standard document
  • 0 automations
  • 4 project stages
Shared Documents
New projects go in Initiatives/Active.

Click a folder to open it. Names use example values; you enter your own when you set it up.

What it fixes

Credentialing and training records are scattered

Credentialing, training records, scheduling and onboarding each have a place under 03 Staff.

Policies go unreviewed

Policies and procedures live in one folder with a policy review log to track owners and review dates.

New locations and services start from scratch

Each initiative, like opening a location or onboarding a provider, gets the same folder from plan to launch.

What's included

  • Company folders (30). Deploy once into the shared drive or SharePoint library your practice uses.
  • Practice Initiative template (7 folders). One folder per initiative, for example a new location, a new service, or onboarding a provider.
  • Standard documents: Policy review log.

Project Status in the desktop app shows each project's stage from what's in its folder, with no data entry.

Questions

Should patient records go in these folders?

No. Patient records belong in your EHR or practice management system. This kit is for running the practice: administration, staff, facilities and quality.

Does this make our practice HIPAA compliant?

No. A folder structure doesn't make anything compliant. It helps you organize practice documents; your privacy and security obligations still apply to where and how you store them.

Where do the folders get created?

Wherever you choose: a SharePoint library, OneDrive, Google Drive, Dropbox, a network drive or office server, or a folder on one computer. FolderCopilot Desktop finds these for you and creates the folders there; your sync service shares them with your team as usual.

Will it overwrite anything we already have?

No. You see every folder and file before anything is created, existing files are never changed, and setting up a kit again only adds what's missing. You can undo a setup.

Are our files uploaded to FolderCopilot?

No. The folders are created on your computer or in your synced drive by the desktop app. Your documents are not uploaded to FolderCopilot to set up a kit.

Can we change the kit or make our own?

Yes. Once set up they're ordinary folders you can change. You can also turn any folder structure into your own kit with "Save a folder as a kit" and set it up again anywhere.
